1. INTRODUCTION AND DATA CONTROLLER

  1. Lee Stafford Education Foundation (“we”, “us” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share and protect your personal information when you use the Lee Stafford Education platform.

  2. Lee Stafford Education Foundation is the data controller responsible for your personal information. We are a company registered in England and Wales under company number 13734333, with our registered office at 80–83 Long Lane, London, EC1A 9ET, United Kingdom.

  3. This Policy should be read together with our Terms of Use, which govern your use of the Platform. Words defined in the Terms of Use have the same meaning in this Policy unless stated otherwise.

  4. If you have any questions about this Privacy Policy or about how we handle your personal information, you can contact us at hello@leestafford.world.

2. SCOPE OF THIS POLICY

  1. This Privacy Policy applies to the Lee Stafford Education platform however you access it, including our website at www.leestafford.world, the member area, and our native mobile applications for iOS and Android (together, the “Platform”).

  2. The Platform is an education service for hairdressing students at our partner colleges. It provides online courses, masterclasses, discussion groups, member profiles, a rewards programme, badges, announcements and push notifications. The Platform does not process payments, does not offer subscriptions or in-app purchases, and does not use automated decision-making that produces legal or similarly significant effects about you.

  3. This Policy does not apply to third-party websites or services that may be linked from the Platform. Those services have their own privacy policies, and we encourage you to review them.

3. INFORMATION WE COLLECT

  1. We collect the following categories of personal information:

    Account and Registration Information

  2. When you register, we collect your first name, last name, email address, password, date of birth, college, course level and registration code. This information is used to create your account, confirm your eligibility, and configure your access to the Platform.

    Profile Information

  3. If you choose to create a profile, we collect the information you add to it, which may include a profile photo and an “About Me” biography.

    Learning and Course Information

  4. We collect information about your learning activity, including the courses and masterclasses you access and your progress through them. This helps us provide the service, recognise your participation, and support your learning.

  5. Some of this information may be visible to trainers or staff associated with your college, so that they can support your learning and administer the programme. It may also be recorded in the systems that manage your access, in order to keep your Badges and progress accurate.

    Rewards and Badges

  6. We collect information relating to your participation in the rewards programme, including the points you earn and redeem, and the badges assigned to your account (such as your college, course level and “Class of” year).

    Discussion Groups and User-Generated Content

  7. When you use the community features, we collect the content you create and share, including posts, comments, polls, and any images or videos you upload.

    Communications

  8.  If you contact us, for example by email, we collect the information you provide in your message and our correspondence with you, so that we can respond and keep a record of the enquiry.

    Device and Technical Information

  9. When you use the Platform, we automatically collect certain technical information, which may include your device type, operating system, app version, IP address, and information about how you interact with the Platform. On mobile devices, this may include a device identifier used to deliver push notifications where you have enabled them.

  10. We use this information to operate and secure the Platform, to diagnose problems, to understand how the Platform is used, and to improve it.

4. HOW WE USE YOUR INFORMATION

  1. We use your personal information to:

    • create and manage your account and verify your eligibility;

    • provide the Platform and its features, including courses, masterclasses, discussion groups, profiles, rewards and badges;

    • assign and manage badges that control your access to areas of the Platform;

    • display your profile and content to other members where you have chosen to make your profile public;

    • track your learning progress and administer the rewards programme;

    • send announcements and push notifications where you have enabled them;

    • maintain the security and integrity of the Platform, and prevent misuse;

    • respond to your enquiries and provide support; and

    • comply with our legal obligations.

5. PROFILE VISIBILITY

  1. Your profile is private by default. You will only appear in the members directory, and your profile will only be visible to other members, if you actively choose to make your profile public.

  2. If you make your profile public, the information in it (such as your name, profile photo and biography) will be visible to other members of the Platform. You can change your profile visibility at any time through your account settings.

  3. Content you post in discussion groups may be visible to other members of those groups, regardless of your profile visibility setting. You should consider this before posting, and avoid sharing information you would not want other members to see.

  4. The Platform does not offer private member-to-member messaging. Interactions between members take place within community areas, which are visible to other members of those areas.

6. PUSH NOTIFICATIONS

  1. If you use our mobile applications, we may send you push notifications relating to announcements, masterclasses, competitions and important platform updates.

  2. You can control push notifications at any time through your device settings. If you turn them off, you can continue to use the Platform, but you may not receive time-sensitive information.

7. COOKIES, ANALYTICS AND SIMILAR TECHNOLOGIES

  1. We use cookies and similar technologies on the Website and member area to operate the Platform, remember your preferences, keep you signed in, and understand how the Platform is used.

  2. We use analytics services, including Google Analytics, to help us understand how members use the Platform so that we can improve it. These services may collect information such as your device information, IP address and usage activity. You can find out more about how Google uses information at https://policies.google.com/privacy, and you can opt out of Google Analytics at https://tools.google.com/dlpage/gaoptout.

  3. Where required by law, we will ask for your consent before placing non-essential cookies, and you can manage your cookie preferences through the controls provided on the Platform or in your browser.

  4. Cookies we use generally fall into the following categories: strictly necessary cookies that are required for the Platform to function and to keep you securely signed in; functional cookies that remember your preferences; and analytics cookies that help us understand how the Platform is used. Strictly necessary cookies cannot be switched off through our cookie controls, as the Platform relies on them.

  5. Disabling some cookies may affect how the Platform works, and certain features may not function correctly if you block cookies that are needed to provide them.

8. LEGAL BASIS FOR PROCESSING

  1. Under the UK General Data Protection Regulation (UK GDPR), we rely on the following legal bases to process your personal information:

    • Contract – we process your account, registration and learning information because it is necessary to provide the Platform to you, including creating your account, confirming your eligibility, assigning Badges and giving you access to your courses.

    • Legitimate interests – we process your activity, profile, community and technical information to operate, secure, improve and promote the Platform, to run the community and rewards features, and to prevent misuse. We only rely on this basis where our interests are not overridden by your rights and interests.

    • Consent – we rely on your consent for non-essential cookies and, on mobile devices, for push notifications. You can withdraw your consent at any time through the relevant controls, without affecting processing carried out before you withdrew it.

    • Legal obligation – we process information where we need to do so to comply with the law, for example to respond to lawful requests or to meet our regulatory obligations.

9. SHARING YOUR INFORMATION

  1. We do not sell your personal information. We share personal information only as described in this Policy, including:

    • Service providers – with third parties who provide services that enable the Platform to operate, including Wix.com Ltd, which hosts and powers our Website, member area, mobile applications and online programs, and analytics providers such as Google.

    • Other members – where you choose to make your profile public or post content in discussion groups, that information is shared with other members as described in this Policy.

    • Legal and protection – where we are required to share information to comply with the law, respond to lawful requests, or to protect our rights, our members, or the public.

  2. Where we share information with service providers, we do so under appropriate agreements that require them to protect your information and use it only for the purposes we specify.

10. WIX AS OUR PROCESSOR

  1. The Platform is built and hosted using Wix. Wix.com Ltd acts as a data processor on our behalf, processing personal information in order to provide the hosting, member management, online program, community and app infrastructure that the Platform relies on.

  2. Wix processes personal information in accordance with its own privacy practices and our agreement with it. You can read more about how Wix handles personal information at www.wix.com/legal/privacy.

11. INTERNATIONAL TRANSFERS

  1. Some of our service providers, including Wix and analytics providers, may process personal information outside the United Kingdom and the European Economic Area.

  2. Where personal information is transferred outside the UK, we take steps to ensure it is protected by appropriate safeguards, such as transfers to countries recognised as providing adequate protection, or the use of standard contractual clauses or equivalent mechanisms recognised under UK law.

  3. If you would like more information about the safeguards we use for international transfers, you can contact us at hello@leestafford.world.

12. DATA RETENTION

  1. We keep your personal information for as long as your account is active and for as long as necessary to provide the Platform, to comply with our legal obligations, to resolve disputes and to enforce our agreements.

  2. The period for which we keep information depends on why we hold it. Account and profile information is generally kept while your account remains active; learning, rewards and badge information is kept while it is needed to provide and administer the Platform; and technical information is generally kept for a shorter period, sufficient for security and analytics purposes. When information is no longer needed, or when you close your account, we delete or anonymise it, unless we are required to keep it for legal or regulatory reasons.

  3. You can request deletion of your account and associated personal information at any time, as described in the section below.

13. ACCOUNT DELETION

  1. You can ask us to delete your account and associated personal information at any time by contacting us at hello@leestafford.world, or by using any account deletion controls provided within the Platform.

  2. When you request deletion, we will remove or anonymise your personal information, subject to any information we are required to retain for legal or regulatory reasons. Some content you have posted in community areas may be disassociated from your account rather than deleted, where deletion would affect other members' use of the community.

  3. Deleting your account is permanent. Once your account is deleted, you will lose access to your courses, progress, points, badges and profile, and this information may not be recoverable. If you later wish to use the Platform again, you may need to register for a new account, subject to eligibility.

14. SECURITY

  1. We take appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, misuse or alteration.

  2. The Platform infrastructure, including hosting and authentication, is provided through Wix, which maintains its own security measures. No method of transmission or storage is completely secure, and while we work to protect your information, we cannot guarantee absolute security.

  3. You also play an important role in security by keeping your login details confidential and notifying us of any suspected unauthorised use of your account.

  4. If we become aware of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the Information Commissioner's Office and, where required by law, affected individuals, in accordance with our legal obligations.

15. CHILDREN'S PRIVACY

  1. The Platform is intended for users aged 16 and over. We do not knowingly collect personal information from anyone under the age of 16.

  2. If we become aware that we have collected personal information from a person under 16, we will take steps to delete that information. If you believe a person under 16 has provided us with personal information, please contact us at hello@leestafford.world.

  3. Because the Platform is designed for hairdressing students at partner colleges, some of our members are young adults. We build privacy protections into the community features, and we encourage members to think carefully about the information they share and to use the privacy controls available to them, including keeping their profile private.

16. YOUR RIGHTS

  1. Under UK data protection law, you have a number of rights in relation to your personal information. These include the right to:

    • Be informed – about how we use your personal information, as set out in this Policy.

    • Access – request a copy of the personal information we hold about you.

    • Rectification – ask us to correct inaccurate or incomplete information.

    • Erasure – ask us to delete your personal information in certain circumstances.

    • Restriction – ask us to restrict the processing of your information in certain circumstances.

    • Portability – ask us to provide certain information to you or another provider in a structured, commonly used format.

    • Object – object to our processing of your information where we rely on legitimate interests.

    • Withdraw consent – withdraw your consent at any time where we rely on it.

17. HOW TO EXERCISE YOUR RIGHTS

  1. You can exercise any of your rights by contacting us at hello@leestafford.world. We may need to verify your identity before responding to your request.

  2. We will respond to your request within the time limits required by law, usually within one month. Where a request is complex or where you have made a number of requests, we may extend this period, and we will let you know if we need to do so. There is normally no charge for exercising your rights, although we may charge a reasonable fee or decline to act where a request is unfounded or excessive.

  3. If you are not satisfied with how we handle your personal information or your request, you have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at www.ico.org.uk. We would, however, appreciate the chance to address your concerns before you approach the ICO.

18. MOBILE APPLICATIONS AND APP STORE DATA SAFETY

  1. Our mobile applications are distributed through the Apple App Store and Google Play. This section summarises our data practices in the way those stores present them, to help you understand what the apps collect and to support the disclosures we make on the App Store and in the Google Play Data Safety section.

  2. Data collected through the apps: account and profile information (name, email, date of birth, college, course level and profile details); learning activity, rewards and badge information; the content you create in community areas; and technical and device information, including a device identifier used for push notifications where enabled. This data is linked to your account.

  3. How the data is used: to provide and operate the Platform, manage your account and access, deliver the community and rewards features, send push notifications where you have enabled them, and keep the Platform secure. We do not use your data for third-party advertising, and we do not sell your data.

  4. Sharing, retention and deletion: we share data only as described in the “Sharing Your Information” section, principally with our infrastructure provider Wix and our analytics provider Google, and where required by law. Data is retained as described in the “Data Retention” section. You can request deletion of your account and associated data at any time, as described in the “Account Deletion” section, and you can manage profile visibility and notifications through your account and device settings.

19. THIRD-PARTY LINKS AND SERVICES

  1. The Platform may contain links to third-party websites, resources or services that are not operated by us. We are not responsible for the privacy practices or content of those third parties.

  2. If you follow a link to a third-party service, or interact with a third-party feature, that service may collect information about you in accordance with its own privacy policy. We encourage you to review the privacy policies of any third-party services you use.

20. CHANGES TO THIS POLICY

  1. We may update this Privacy Policy from time to time to reflect changes to the Platform, to our practices, or for legal or regulatory reasons.

  2. Where we make material changes, we will take reasonable steps to notify you, for example through the Platform or by email. The date of the latest version will be shown on the Platform, and your continued use of the Platform after any update constitutes acceptance of the updated Policy.
